Privacy Policy
Last updated: October 2026
This policy explains what personal data Outboundr collects, why we collect it and what we do with it. It covers our clients, our candidates and anyone who visits our website. If anything here is unclear, email us at hello@outboundr.uk and we will explain.
Outboundr Ltd is registered in England and Wales, company number 17450878. Our registered office is 31 Drayton Street, Manchester, England, M15 5LL. We are registered with the Information Commissioner’s Office (ICO) under reference ZC265423, and we are the controller of the personal data described in this policy. We follow the UK GDPR and the Data Protection Act 2018.
1. What we collect
If you contact us or work with us as a client, we collect your name, job title, company, work email address and phone number. We also keep what you tell us about your business and the people you want to hire, and any messages you send us by email, through our contact form or on LinkedIn.
If you register with us as a candidate, we collect your name, email address and phone number, your CV and work history, your skills and experience, your current and expected salary, and your right to work in the UK. This comes from our online registration form, your CV, and the calls and interviews we have with you. If you give us references, we only contact them with your agreement.
When you visit our website, we automatically collect your IP address, browser type, device and operating system, and which pages you look at and for how long.
Sometimes we find someone through publicly available professional information, such as a LinkedIn profile, or another person recommends them to us. If we contact you this way, we will tell you where we found your details.
2. Why we use it
For clients, we use your details to answer enquiries, arrange calls, understand what you need from a hire, send you shortlists, manage the recruitment process and meet the terms of any Terms of Business we sign with you.
For candidates, we use your details to judge whether you suit a role, talk to you about opportunities now and in the future, run the interview and placement process on your behalf and meet our legal duties as a recruiter. We only send your details to a client company after you have said yes.
The law says we need a valid reason to use your data. Most of the time ours is legitimate interests in running a recruitment business. Where we are working together under a contract, that contract is the reason. Sometimes the law requires us to keep or share data, and where we have specifically asked for your consent, that is the reason.
3. Who we share it with
We do not sell, rent or trade personal data.
We share a candidate’s details with a client company only when we are putting them forward for a specific role, and only after getting their explicit consent.
We use a small number of service providers to run the business, such as email and CRM software. They are bound by data processing agreements and can only use your data to provide those services to us.
We will also share data if the law or a regulator requires it.
4. How long we keep it
We keep personal data only for as long as we need it. Candidate details are kept for up to two years after we last spoke, and then we will ask whether you want to stay on our database. Client details are kept while we work together and for up to six years afterwards, because of contract and tax rules. Cookie data is kept as set out in the cookies section below.
You can ask us to delete your data at any time by emailing hello@outboundr.uk.
5. Keeping your data safe
We use sensible technical and organisational measures to protect personal data from being accessed, lost, changed or shared without permission. No system connected to the internet is completely secure, so we cannot promise absolute security. If a breach puts your rights or freedoms at risk, we will tell you promptly.
6. Transfers outside the UK
We work mainly in the UK, but part of our team works from other countries, so some personal data is accessed from outside the UK. When that happens, we put the safeguards in place that UK GDPR requires.
7. Your rights
You can ask to see the personal data we hold about you, have it corrected or deleted, limit how we use it, or get a copy in a format you can reuse. You can object to us using your data where we rely on legitimate interests, and where we rely on your consent you can withdraw it at any time.
To do any of this, email hello@outboundr.uk and we will reply within one month. If you are unhappy with how we have handled your data, you can complain to the ICO at ico.org.uk.
8. Cookies
Our website uses cookies to make the site work well and to see how visitors use it. You can manage your choices using the cookie consent tool on the site.
9. Links to other sites
Our website may link to other websites. We are not responsible for how they handle your data, so please read their privacy policies before sharing anything with them.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
11. Contact us
